Hotel AV Installation: From Design to Technical Handover

A professional hotel AV installation is a multi-stage process that requires solid design, the right materials, and a structured technical handover. What to watch for at every stage.

Mistakes made at the AV design stage are expensive to fix after construction or renovation is complete. Installing cabling behind finished walls means breaking plaster or running cables in surface conduit — double the time and cost. Below is a complete walkthrough of the five stages of a hotel AV installation.


Stage 1: Inventory and Requirements Analysis

Before starting the design, establish:

  • Room count and layout — every room is an independent AV endpoint (TV, optionally a casting device, access point)
  • Common areas — lobby, restaurant, conference rooms, spa, corridors
  • Property category — a 3-star and 5-star hotel have very different expectations around resolution, channel count, and casting capability
  • Existing infrastructure — is there a LAN? What cabling is already in the walls?
  • Future roadmap — is IPTV, casting, or digital signage planned for the next 3–5 years?

Plan for headroom — AV infrastructure typically serves a building for 10–15 years, and technology moves fast.


Stage 2: Technical Design

A solid AV design document includes:

  • Logical network diagram — VLANs, signal routing, IP topology
  • Physical diagram — cable routes, risers, patch panels
  • Equipment specification — manufacturers, models, parameters
  • Power budget — servers, headend, amplifiers, and UPS sizing

Cabling Selection

For IPTV over LAN: Cat6 minimum, Cat6A for rooms requiring 4K delivery. For traditional RF distribution: RG-6 coaxial or better, with appropriate attenuators and signal amplifiers. All cables must be labelled and documented in the as-built record.

Rack Room and Technical Space

All active components (IPTV servers, headend, core switch, patch panels) should be located in a climate-controlled technical room with access control. 19” rack cabinets with proper cable management. Server room temperature should not exceed 25°C.


Stage 3: Physical Installation

Execution Sequence (Order Matters)

  1. Conduit and first-fix runs — before plastering, ideally concurrent with the electrical installation
  2. Cable pulling — after boxes are built in, before wall finishing
  3. Active equipment mounting — headend, servers, switches — only after all construction work is complete
  4. TV and peripheral mounting — last, after painting and flooring are done

Common Installation Mistakes

  • Too few LAN ports per room — a minimum of 2–3 ports is needed: TV, casting device or STB, and a hotel access point
  • No cable slack — future furniture rearrangements and equipment changes become complicated without reserve length
  • Unlabelled cabling — after a year, nobody knows what goes where
  • No as-built documentation — critical for servicing; without it, every maintenance visit is an investigation

Stage 4: Configuration and Commissioning

After physical installation is complete, configure:

  • Channel list and EPG in the IPTV system
  • Welcome screen interface (hotel branding, information)
  • VLAN and multicast routing (IGMP Snooping, IGMP Querier)
  • PMS integration (if in scope)
  • Casting (Chromecast) — provisioning and guest network isolation

Hotel TV configuration is done remotely over the network — no manual setup per device is required. A channel list change across all TVs takes minutes, not days.


Stage 5: Technical Handover

What the Handover Protocol Should Include

  • Full AV point inventory with test confirmation per room
  • Signal measurements (for RF installations: signal level in dBμV at every outlet)
  • As-built documentation (diagrams, equipment specification)
  • Operating manuals and administrative credentials
  • Service contact list and SLA terms (response time, resolution time)

What to Verify at Handover

Every AV point must be tested:

  • Image and audio quality on all channels
  • Remote control operation (range, response latency)
  • Casting — pairing and de-pairing after checkout
  • System boot time after a power cut (target: under 60 seconds)

Conduct the handover before guests arrive, with time allowed for remediation. In practice, 5–10% of endpoints require correction — a loose connector, a misconfiguration. Far better to find these before opening than when a guest is in the room.
